Job Description: Project Assistant, Moseley for Ukraine Project

Job Title: Project Assistant

Reports to: Project Manager

Location: Moseley Hive, with occasional work at Moseley Exchange and Moseley Park

Hours: 12 hours per week

Contract Type: Part-time, fixed-term until 31st March 2026

Job Summary.

We are seeking a proactive and motivated Project Assistant to support the Moseley for Ukraine project. This role is key to engaging with the local Ukrainian community and ensuring the smooth delivery of our activities, which include ESOL classes, a wellbeing project (Nature Therapy and Art Therapy), and a Speaking Club.

The successful candidate will be expected to attend and support the ESOL classes (Tuesdays, 9.00am–1.00pm), Nature Therapy sessions (Thursdays, 5.00–6.30pm), and the Speaking Club (Fridays, 3.00–5.00pm), while liaising with stakeholders to coordinate the Art Therapy project. The role involves ensuring these community activities are well-organised, effective, and responsive to participants’ needs.

Key Responsibilities.

·              Project Coordination: Prepare all necessary materials, logistics, and premises for community activities, ensuring they run on schedule and participants have a positive experience. Work with participants recruiting processes.

·              Stakeholder Communication: Serve as the primary point of contact for activity providers, managing work-related communication and invoicing.

·              Internal Collaboration: Liaise with the Communications Assistant to coordinate and finalise the schedule of activities.

·              Reporting: Provide regular updates and reports to the Project Manager on the progress and outcomes of all activities.

Requirements:

·              Fluency in Ukrainian (both written and spoken) is essential.

·              A good level of spoken and written English - Intermediate level (or higher) is required.

·              Proven ability to engage with diverse audiences and build strong relationships.

·              Client-oriented with a focus on delivering excellent service and support to the community.

·              Attention to detail and excellent record keeping skills

·              Highly organized, self-motivated, and capable of working independently with minimal supervision.

·              Strong communication and interpersonal skills.

·              Confident user of MS Office, Gmail and online Google tools and computer.
